Role Overview – Why This Position Matters
The Corporate Fleet Coordinator plays a pivotal role in the seamless operation of Stantec’s extensive vehicle inventory. Reporting directly to the Corporate Fleet Manager, you will serve as the central hub between internal stakeholders, external vendors, finance, and compliance teams. Key Responsibilities – Driving Efficiency and Excellence
- Asset Procurement & Lifecycle Management: Partner with internal project leads and the fleet management vendor to order new vehicles, oversee registration and licensing renewals, and manage the end‑of‑life disposal process for assets leaving service.
- Maintenance Coordination: Track scheduled maintenance, arrange repairs, and ensure service records are up‑to‑date, minimizing downtime and extending vehicle longevity.
- Insurance & Risk Management: Add, modify, or delete insurance coverage as fleet composition changes, ensuring compliance with corporate risk policies and local regulations.
- Fuel Monitoring & Sustainability Reporting: Analyze fuel usage trends, identify opportunities for cost savings, and contribute data to Stantec’s sustainability initiatives.
- Invoice Processing & Financial Reconciliation: Review and process invoices from the fleet vendor, reconcile fleet inventory with Stantec’s fixed‑asset system, and collaborate with finance and payroll on mileage reporting.
- Communication Hub: Monitor, organize, and promptly respond to fleet‑related emails, acting as the primary point of contact for both internal requestors and external service providers.
- Process Improvement: Continuously evaluate existing workflows, propose automation or procedural enhancements, and champion best practices across the fleet management ecosystem.
