Overview: FWI is building a team to plan, coordinate, and host ten regional pedestrian safety summits across all NHTSA regions nationwide. As a Program Coordinator, you will manage the logistics, scheduling, and administrative tasks for each summit while ensuring the program meets project goals and compliance requirements.   FWI has been recognized as a Top Workplace by the Washington Post in 2024 and 2025, offering excellent growth opportunities in a collaborative environment.    **Position is contingent upon contract award**   Work Schedule and Location: Remote: This part-time remote position requires approximately 10 hours per week, with a flexible schedule coordinated around project milestones, monthly reporting deadlines, and regional summit planning activities. Travel to regional summit locations is required. Responsibilities: - Manage all logistics for ten regional summits, including venue selection, scheduling, and on-site event coordination - Identify and engage regional and local speakers who bring relevant expertise, coordinating closely with NHTSA Regional Offices - Develop marketing materials — including flyers, registration pages, email communications, and invitations — to promote attendance and engagement, subject to NHTSA approval - Arrange virtual access options to support remote participation in summit activities - Coordinate event requirements including technology setup, audiovisual support, and conference space arrangements - Manage travel logistics for attendees and staff, including hotel room blocks, parking, local transportation, and dining options - Support the development and submission of OMB approval documents required for summit evaluation - Monitor program activities, milestones, and deadlines to ensure alignment with the project work plan - Track and document other direct costs related to summit materials, venue, and logistics in coordination with the Project Manager - Assist with gathering and organizing evaluation data after each summit to support continuous improvement of the planning process - Provide administrative support as needed to keep the program running efficiently and on schedule - Travel to summit locations across all ten NHTSA regions to manage on-site logistics   Qualifications: Required:  - Bachelor's degree and at least 3 years of relevant experience.   - Education/Experience Substitution: PhD and 0 years experience; Master's and 1 year experience; Associate's and 5 years experience; High School and 7 years experience Desired: - Experience in logistics, planning, and implementation of road safety summits, meetings, or conferences - Background in traffic safety, specifically pedestrian safety and vulnerable road user programs - Experience coordinating events involving diverse stakeholder groups including law enforcement, public health, community organizations, and government agencies - Familiarity with NHTSA, State Highway Safety Offices (SHSOs), and regional traffic safety partners - Experience creating marketing materials and managing event communications for a government audience - Previous experience supporting a similar Government agency or large-scale corporate environment       FWI is an Equal Opportunity Employer, including disability/vets.  Why Join Our Team:   At FWI, we place the highest importance on creating an exceptional employee experience.
