Operations & CRM/Workflow Consultant for Insurance Supplementing Business

I run a service business that supports roofing contractors with insurance claims through supplement estimating. I’m reaching out because I want to professionalize and streamline my backend operations. I currently use Monday.com to manage jobs, follow-ups, approvals, invoicing timelines, and payment due dates—but I’m open to moving to another CRM/work management system if you recommend something that fits my workflow better. What I’m looking for help with: •Operational strategy + system design: map my end-to-end workflow (intake → inspection/docs → estimate build → submission → follow-ups/negotiation → approval → invoicing → payment tracking/collections → closeout). • CRM/work management selection: evaluate whether Monday.com is best for my needs or recommend a better platform (and why). • Automation & workflow optimization: reduce manual clicking by implementing automations (email follow-ups, reminders, task creation, status-based triggers, invoice/payment tracking, etc.). • Implementation: actually build and configure the workflows inside the chosen system (boards/pipelines, templates, checklists/subtasks, dashboards, integrations). • Integrations: explore email, calendar, file storage, and QuickBooks integration to streamline billing and tracking. My goal is to create a system where: • Every job moves through a clear pipeline with minimal manual effort • Follow-ups don’t fall through the cracks • I can see what’s urgent today (and what’s stuck) at a glance • Invoicing and payment tracking are consistent and easy to manage • The process is scalable so I can add support staff later If this is within your wheelhouse, I’d love to learn more about your approach and experience with CRM/work management builds.
