Viral Coach is seeking a talented, detail-oriented Virtual Operations Associate to help execute a variety of vital tasks managing client data, databases, and other operational resources.

We're looking for a motivated self-starter with a solid grasp of data entry and data management best practices using tools like Google Sheets and Airtable. You communicate clearly in Slack, enjoy process efficiency, and often find ways to improve how work gets done.

• Complete data entry tasks and database updates in a timely manner
• Perform internet research to locate social media profiles for data entry
  
• Communicate progress and escalate issues to appropriate team members
  
• Maintain good working knowledge of data management best practices
  
• Ensure data accuracy and consistency across platforms
  
• Handle large data sets and make logical connections between data points
  
• Support special projects and other operational tasks as assigned
  
• Maintain speed and clarity in communication (primarily via Slack)
  
• Work effectively in a fast-paced environment with openness to change

• 2+ years in administrative, operations, or data management roles
• Strong competence in Google Sheets and/or Excel; familiarity with Airtable preferred
• Excellent written and verbal English communication; fast and clear communicator via Slack

• Technical Skills:
  • Data cleaning, formatting, and organization
  • Basic understanding of formulas, filters, and lookups
  • Comfort handling large datasets

• Schedule:
  • Able to work remotely with at least 50% overlap with PST hours (10 AM–6 PM)
  • Reliable daily check-ins via Slack

• Mindset:
  • Detail-oriented and proactive problem-solver
  • Comfortable making decisions with limited information using context
  • Process-driven with curiosity for continuous improvement

• Experience working in a digital marketing, creative, or agency environment
  
• Familiarity with CRM tools (e.g., HubSpot, Pipedrive, or ClickUp)
  
• Experience building automations or integrations using Zapier or similar tools
  
• Ability to create or maintain lightweight reports or dashboards (e.g., Looker Studio, Airtable interfaces, or Sheets summaries)
  
• Strong analytical thinking and attention to detail in organizing complex data
  
• Interest in continuous process improvement and operational scalability

• Rate: $4–8 USD per hour depending on location and experience
• Hours: 35–40 hours per week
• Type: Hourly (independent contractor)
• Process: Maintain and submit a bi-weekly timesheet
