Job Title: Project Coordinator - HOT Transformation (Fractional Role 2026 - 2027)

Context:
HOT is entering a new phase of growth, shifting from a primarily volunteer-driven model to a more sustainable, locally led approach to scaling community-generated data. Building on the milestone of mapping areas where over one billion people live, HOT is evolving its model to enable trained local organisations to deliver high-quality mapping and analysis services directly to decision-makers. Central to this shift is the development of an open mapping marketplace, which will connect demand from governments, multilaterals, and NGOs with accredited local providers, established by the Learn & Connect program. This transition is supported by a broader pivot in HOT’s business model towards earned revenue, while maintaining philanthropic support for public-good priorities such as disaster response and innovation.
Role Overview:
This role sits at the heart of HOT’s organisational transformation, supporting the transition to a new model for scaling community-led mapping and data services globally.
The Project Coordinator is a fractional (50%) role supporting HOT’s 2026–2027 transformation and scaling phase. The role will work closely with senior leadership and cross-functional teams to coordinate and drive progress across key strategic workstreams, ensuring alignment, accountability, and delivery against organisational priorities.
This is a highly cross-cutting role requiring strong organisational skills, comfort with ambiguity, and the ability to translate strategy into execution.

Key Responsibilities:
Transformation Coordination & Execution
- Coordinate and monitor Transformation activities against agreed outcomes and timelines. Collaborate closely across teams, acting as a connector to ensure clarity and alignment.
- Translate high-level strategy into clear, trackable workplans
- Support cross-team coordination to maintain momentum and accountability:
- Manage and maintain workstream tracking tools and databases (mainly Asana, but also Neon One, Airtable)
- Maintain organized and up-to-date transformation related documentation (updates, reports) on shared drives & systems
- Serve as a point of contact for stakeholders, partners, and internal teams
Tracking, Monitoring & Reporting
- Track workstream plans, milestones, achievements, and deadlines
- Produce clear, regular updates for leadership, board, and to support donor engagement
- Support the preparation of reports and updates for internal use, as well as board, donor, and stakeholder briefings
- Ensure consistent visibility into progress, risks, and blockers
Stakeholder Coordination
- Act as a central coordination point across leadership, program, portfolio and hub teams
- Support communication and alignment across internal and external stakeholders
Risk Management & Problem Solving
- Identify risks and delays early, and support mitigation
- Help teams unblock challenges and maintain delivery pace
Must Have:
- Demonstrated interest in project management, with experience in project coordination or delivery
- Strong organizational, coordination, and time management skills
- Ability to manage multiple stakeholders across geographies and functions
- Comfort working in fast-evolving, ambiguous environments; self-driven and able to work independently with limited supervision to manage multiple priorities
- Experience using (or strong willingness to learn) HOT project management tools: Asana, Neon One, Airtable
- Strong attention to detail with solid reporting and documentation skills
- Effective communicator with a collaborative, cross-cultural approach
- Innovative, proactive, and solutions-oriented mindset
