We are a rapidly growing integrative primary care and chronic care management practice serving seniors and adults with complex medical conditions across California. We are looking for a highly organized, tech-savvy, and compassionate Virtual Medical Assistant who is also confident with outbound calls, warm leads, clinic coordination, and basic marketing tasks.
This role is ideal for someone who enjoys both patient-facing communication and operational support, and wants to grow with an innovative, mission-driven healthcare practice.

Core Responsibilities
Outbound Calls, Warm Leads & Scheduling
• Make outbound calls to warm leads, referral partners, facilities, and prospective patients.
• Comfortable with cold outreach using prepared scripts—primarily to ALFs, senior centers, discharge planners, community partners.
• Schedule, confirm, reschedule, and follow up on virtual and in-person appointments.
• Provide reminder calls and ensure patients understand visit logistics.
• Track all outreach, responses, and outcomes in EMR/CRM systems (training provided).
Clinic Operations & Administrative Support
• Conduct eligibility checks, insurance verification, and intake tasks.
• Assist with medication refill requests under supervision.
• Review lab results and route appropriately to provider.
• Update patient information and maintain accurate documentation.
• Handle patient questions and communications confidently and professionally.
• Support billing admin tasks (optional but preferred).
Patient & Partner Communication
• Answer patient inquiries via phone, email, text, or portal within practice response-time guidelines.
• Provide warm, clear, empathetic communication—especially for seniors and caregivers.
• Build rapport with assisted living directors, case managers, and community partners.
Marketing & Social Media Support (Bonus Responsibilities)
• Post updates, class announcements, and educational content on social media (Instagram, Facebook, YouTube).
• Assist with scheduling posts, basic graphic/editorial updates, and outreach messages.
• Help with patient engagement campaigns and community outreach projects.
Other Tasks
• Support workshops, group visits, and special outreach initiatives.
• Maintain spreadsheets, trackers, and logs.
• Assist with anything that helps the clinic run smoothly and grow.

✔️ Required Qualifications
• Experience working in a medical or healthcare office (virtual or in-person).
• Strong understanding of medical terminology and clinical workflows.
• Excellent US English verbal and written communication skills.
• Comfortable making outbound calls (warm and cold).
• Tech-savvy and able to quickly learn:
• EMRs (Optimantra or similar)
• CRMs (Streak or similar)
• Google Workspace
• Messaging platforms
• Highly organized with strong attention to detail.
• Reliable internet and working computer/headset.
• Ability to maintain strict confidentiality and follow HIPAA guidelines.

• Social media management or content posting experience.
• Customer service or call center background, especially with seniors.
