The Role
As a Finance & Administration Analyst, you will be responsible for a wide range of tasks, including:
- Maintaining project billing schedules to ensure timely and accurate invoicing and cash management.
- Validating and maintaining client billing information to promote an efficient invoicing and collection process.
- Processing client and project retainers upon creation of projects to ensure timely and accurate invoicing.
- Supporting Accounts Payable functions, including credit cards and reimbursable expenses, vendor payments, and monthly expense analysis.
- Assisting with the implementation of software, including research, testing, installation, configuration, and integration with other systems.
- Creating and maintaining documentation related to systems, processes, and best practices for F&A's reference and training purposes.
- Developing training materials, manuals, and job aids to support effective knowledge transfer.
- Designing and delivering training sessions to educate team members on new procedures, processes, and systems.
- Developing and refining operational procedures and workflows to enhance efficiency, quality, and compliance.
- Managing and preparing datasets and reports for management.
Key Responsibilities
In addition to the above tasks, you will also be responsible for:
- Executing accounts receivable functions, ensuring timely and accurate processing of payments from clients and statements.
- Assisting in the planning, execution, and monitoring of operational projects to ensure timely completion and adherence to objectives.
- Supporting the Director of HR with recruitment, employee changes, and onboarding new hires.
- Supporting the COO, VP of F&A, and team with operational and administrative tasks as needed.
Monthly, Quarterly, and Annual Responsibilities
You will also be responsible for:
- Processing and managing monthly and semi-monthly invoices and invoicing processes.
- Responsible for the monthly reconciliation of invoicing and A/R transactions along with their corresponding support documentation.
- Accountable for accurate and timely time and expense entry with the support of the Company's managers.
- Supporting the Company's F&A bank and system reconciliations.
- Assisting with preparation for quarterly Leadership Meetings.
- Executing annual audits and reporting for business insurances.
- Providing support for audits, budgeting, and tax preparation.
- Assisting with Annual PEO renewal.
- Attending and assisting with prepping for the company's Annual summit.

Performance Evaluation
We will conduct regular performance evaluations, including:
- Quarterly Check-ins
- 90 Day Review
- Annual Reviews
Skills & Qualifications
To be successful in this role, you will need:
- A High School Diploma and/or equivalent relevant experience in a related field.
- A minimum of three years executing accounting functions.
- Direct experience with billing in the Consulting, Law, or Engineering industries is highly desired.
- A detail-oriented mindset with a focus on accuracy and quality.
- Experience with professionally communicating with a variety of clients, subcontractors, and stakeholders.
- Ability to effectively manage and efficiently meet time-sensitive timelines while balancing multiple priorities in a fast-paced setting.
- Excellent communication skills, both written and verbal, with the ability to present complex information in a clear and concise manner.
- A positive attitude with a genuine desire to develop better, think bigger, and support transformative opportunities for the clients and communities that we serve.
