Key Responsibilities - Provide comprehensive administrative and staffing support to the team, including office space management, resource allocation, procurement, headcount management, onboarding, and event coordination. - Oversee procurement of equipment, office supplies, reference materials, and other office necessities, ensuring timely and cost-effective delivery. - Assist in planning and managing both small and large-scale meetings, events, and travel logistics, ensuring seamless execution and attention to detail. - Handle cost reporting in compliance with arenaflex's policies, maintaining accurate and up-to-date records. - Support team-building activities, employee appreciation events, and offsite gatherings, fostering a positive and inclusive work environment. - Maintain confidential employee information and group data with integrity, adhering to arenaflex's data protection policies. - Support new hires with office setups, equipment, and onboarding processes, ensuring a smooth transition into the team. - Coordinate with the business operations community for various organizational activities and events, building strong relationships and driving collaboration. - Take initiative in handling multiple tasks and projects simultaneously in a global, cross-functional environment, prioritizing tasks and managing time effectively. Essential Qualifications To be successful in this role, you will need: - A minimum of 2 years of managerial, business support, or customer service experience, preferably in an environment focused on meeting planning, event management, and travel coordination. - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and data entry tasks, with the ability to learn new systems and technologies quickly. - Strong communication, organizational, and interpersonal skills, with the ability to build strong relationships with colleagues and stakeholders. - Ability to prioritize tasks, manage time effectively, and handle multiple responsibilities in a fast-paced environment, with a proactive and detail-oriented approach. - A Bachelor's degree in Business Administration, Human Resources, Marketing, Communications, Psychology, or a related field, with a strong academic record and a passion for business support.
