Part-Time Executive Assistant & Client Operations Specialist

Support Leadership: Assist the Director of Business Operations and provide support to various clients as needed. ? Client Relations: Maintain positive client interactions and streamline internal processes to enhance service delivery. ? Communication Management: Coordinate communication between clients' upper management and employees, managing interactions with both internal and external executives. ? Organizational Excellence: Plan and manage tasks aligning with client priorities, organizational goals, and best practices. Daily and Monthly Tasks (varying based on client needs) ? Handle both professional and personal needs for clients. ? Maintain detailed records using our timekeeping system. ? Coordinate complex scheduling and manage extensive calendars, including the flow of information to clients' senior executives. ? Arrange travel and related activities for clients, including hotel bookings, transportation, and meal planning. ? Perform administrative tasks such as typing, dictation, creating spreadsheets, faxing, and maintaining filing systems. ? Uphold professionalism and confidentiality in all client interactions. ? Organize client communications, answer phones, and relay messages. ? Plan and coordinate client events. ? Respond to requests within 4 business hours. ? Prioritize tasks effectively while managing multiple responsibilities. Required Skills And Experience ? Experience: 4 years in an administrative role supporting senior management. ? Communication: Excellent written and verbal communication skills. ? Time-Management: Strong time-management and organizational skills. ? Technical Proficiency: Experienced with Microsoft Office and other productivity tools; ability to quickly learn new software. ? Attributes: Flexible team player, motivated self-starter, and capable of handling confidential information with discretion. ? Communication: Confident and professional phone presence, with prompt response to urgent requests. Preferred Qualifications ? Experience in developing internal processes and filing systems. ? Associate's degree or higher in administration, or equivalent experience. ? Familiarity with CRM systems like Active Campaign, Zoho, Pipedrive, etc. Schedule ? Days: Monday to Friday ?
