WHAT YOU WILL DO
The Accounts Payable Manager will oversee our accounts payable processes and ensure timely, accurate, and compliant financial transactions. This role is critical in maintaining positive vendor relationships, optimizing AP workflows, and supporting overall financial operations. The Accounts Payable Manager will collaborate closely with the Finance Manager and cross-functional teams to drive process improvements and ensure strong internal controls.
Key Responsibilities
- Manage the full-cycle accounts payable process, including invoice processing, vendor payments, and expense reimbursements.
- Review and approve invoices to ensure accuracy, proper coding, and compliance with company policies.
- Oversee vendor onboarding, including ensuring proper documentation, W-9 forms, and payment terms are established.
- Ensure timely processing of invoices to maintain strong vendor relationships.
- Monitor the accounting inbox and address inquiries from vendors, employees, and internal stakeholders in a timely manner.
- Manage corporate credit card transactions and expense report processing, ensuring adherence to company policies.
- Assist with month-end and year-end close processes by preparing AP-related journal entries, accruals, and reconciliations.
- Track and report on AP aging, outstanding invoices, and cash flow impacts.
- Provide analysis and insights on AP trends to support budgeting and financial planning.
- Maintain and improve AP workflows within the ERP system (e.g., Sage Intacct, Tipalti) to enhance efficiency and accuracy.
- Implement best practices to streamline invoice processing, payment approvals, and vendor management.
- Train team members on AP processes and ERP system functionality as needed.
- Ensure adherence to internal controls, company policies, and GAAP accounting standards.
- Prepare AP-related documentation for audits, regulatory filings, and tax reporting.
- Manage compliance with 1099 reporting requirements and ensure accurate records for year-end tax filings.
Skills, Knowledge and Expertise
- Bachelor’s degree in Accounting, Finance, or a related field preferred.
- 3+ years of experience in accounts payable or general accounting, preferably within a fast-paced, growth-oriented environment.
- Proficiency in ERP systems such as Sage Intacct, Tipalti, or similar platforms.
- Strong understanding of AP best practices, internal controls, and financial reporting principles.
- Experience in the market research industry or similar professional services environment, strongly preferred.
- Excellent attention to detail with strong organizational and problem-solving skills.
- Familiarity with multi-entity and multi-currency accounting.
- Proven experience optimizing AP workflows and driving process improvements.
- Strong communication skills with the ability to effectively engage with vendors, employees, and leadership.
- Ability to manage multiple priorities and meet deadlines in a dynamic environment.
