This part-time remote position is essential for managing rapid growth while providing outstanding administrative support. Key Responsibilities ? Support the Director of Business Operations with dedicated assistance. ? Assist various clients with their administrative and executive tasks. ? Foster positive client relationships and streamline internal processes. ? Act as a liaison between clients' management teams and internal teams on various projects. ? Plan and execute tasks that align with clients' priorities and organizational goals. Daily And Monthly Duties ? Manage both professional and personal tasks for multiple clients. ? Track detailed records using a timekeeping system. ? Coordinate complex schedules and manage extensive calendar arrangements. ? Organize travel logistics, including booking hotels, transportation, and meals. ? Perform administrative tasks such as typing, dictation, spreadsheet creation, faxing, and maintaining filing systems and contact databases. ? Maintain professionalism and confidentiality in all interactions. ? Handle client communications, answer phone calls, and relay messages. ? Plan and coordinate client events. ? Respond promptly to requests, ideally within 4 business hours. ? Navigate competing priorities and multitask effectively. ? Complete additional tasks as needed. Skills And Qualifications ? Minimum of 4 years of experience in an administrative role supporting senior management. ? Proficiency in Salesforce. ? Excellent written and verbal communication skills. ? Strong time-management and organizational abilities. ? Proficient in Microsoft Office and familiar with other office productivity tools; quick learner of new software and systems. ? Flexible team player who thrives in challenging situations. ? Ability to maintain confidentiality and handle sensitive information. ? Motivated self-starter with a professional phone demeanor. ? Availability for urgent requests as required. Preferred Qualifications ? Experience in developing internal processes and filing systems. ? Associate's degree or higher in administration or equivalent experience. ? Knowledge of CRM systems such as Active Campaign, Zoho, Pipedrive, etc. Schedule ? Monday to Friday ? 10-20 hours per week to start, with opportunities for growth.
